- your name;
- your email address and other contact details you choose to provide;
- the organisation you work for;
- information you provide about what you would like help with;

If you contact me through the website, the contact form asks for your name, email address, organisation and what you would like help with. Please avoid including sensitive or confidential personal information in the website contact form unless it is necessary for your enquiry.
How I use your information
I may use your personal information to:
- respond to an enquiry from you;
- discuss how I may be able to help you or your organisation;
- prepare proposals, quotations or other information you have requested;
- provide consultancy or advisory services that you have engaged me to deliver;
- communicate with you during our work together;
- manage my relationship with clients and prospective clients;
- issue invoices and maintain appropriate financial and business records; and
- meet my legal, regulatory and tax obligations.

My lawful basis for using your information
UK data protection law requires me to have a lawful basis for using personal information. Depending on the circumstances, I may process your information because:
- It is necessary to take steps towards or fulfil a contract with you. This includes responding when you ask me to provide information about my services, preparing a proposal or quotation, and providing services once we have agreed to work together.
- I have a legitimate business interest in doing so. This may include managing enquiries, client relationships and the effective administration of The Leadership Voice, where those interests do not override your rights and interests.
- I have a legal obligation to retain or use certain information. For example, I may need to keep appropriate financial and transaction records for tax, accounting or other legal purposes.
Who I share your information with
I do not routinely share your personal information with third parties. Where necessary to operate my business, information may be processed by trusted service providers that support areas such as website hosting, email, IT, accounting or other business administration.
I may also disclose information where I am required to do so by law. I only share information where there is a legitimate reason to do so and expect organisations processing information on my behalf to handle it appropriately and securely.
How long I keep your information
I keep personal information only for as long as it is reasonably necessary for the purpose for which it was collected, including meeting any legal, accounting or reporting requirements. The period will depend on the nature of the information and my relationship with you.
For example, information relating to an initial enquiry that does not result in us working together will generally be kept for a shorter period than information relating to a client engagement or financial transaction that I may be legally required to retain.
I periodically review the information I hold and securely delete information that I no longer need.
How I protect your information
I take reasonable steps to protect the personal information I hold against loss, misuse, unauthorised access, alteration or disclosure. However, no method of transmitting information over the internet or storing information electronically can be guaranteed to be completely secure.

- ask for a copy of the personal information I hold about you;
- ask me to correct information that is inaccurate or incomplete;
- ask me to delete your personal information in certain circumstances;
- ask me to restrict how your information is used in certain circumstances;
- object to certain uses of your personal information; and
- ask for certain information to be transferred to you or another organisation where applicable.
Not all of these rights apply in every situation.
If you would like to exercise any of these rights, please contact me at ruth@theleadershipvoice.co.uk.
